Explain beforehand that you are recording, why, who can access it, where it will be stored and whether it will be sent to OpenAI. Obtain the necessary authorisation and respect objections, confidentiality and organisational rules. Consent is not the only possible legal basis for every situation; assessment depends on the purpose and circumstances.
For example, say in your own words: “I'd like to make an audio note and transcript of our conversation using OpenAI in atlas. It will be used for this purpose and accessible in my notebook. Is that all right with you?” This example is not universal legal consent or a replacement for an organisation's information obligations.
Sending to OpenAI is optional
Audio can be saved without an AI transcript. OpenAI transfer requires separate permission. Automatic processing of new recordings can be enabled or disabled; manual transcription also requires valid permission. Summaries or content-based folder changes send existing text and need not resend audio.
Browser live transcription is a different, separately optional service and may send audio to the browser provider. It is not required for recording alone. See personal data protection for recipients, retention and rights.
Always check the output
AI may mishear speech, confuse speakers, add an incorrect task or select the wrong folder. A suggestion is not proof of another party's consent or automatically a binding meeting record. Before sharing or deciding, check the original audio and obtain necessary approvals.
atlas is not a tool for employee emotion recognition, biometric identification, automated personnel evaluation or healthcare decisions. This version does not support such uses.
